Managing Team Members
Learn how to invite family members, partners, and caregivers to help manage your pet's profile with different permission levels.
Petfolio lets you invite others to help care for your pet with a team-based access system. Whether it's your partner, family members, or regular pet sitter, everyone can contribute to your pet's care.
Understanding Roles
Petfolio has three permission levels:

| Owner | Full control including deleting the pet and transferring ownership |
| Co-owner | Edit pet info, add photos, invite/remove members |
| Member | Edit pet info, add photos, log care activities |
Owner
The owner is the person who created the pet profile. Only owners can:
- Delete the pet profile
- Transfer ownership to someone else
- Invite co-owners
- Remove co-owners
Co-owner
Co-owners have nearly full access. Great for partners or family members who share pet care responsibilities equally. Co-owners can:
- Edit all pet information
- Add and remove photos
- Log meals, medications, and activities
- Invite and remove members
- View all pet data and history
Member
Members can view and contribute to pet care but can't manage other team members. Perfect for:
- Regular pet sitters
- Family members who help occasionally
- Dog walkers
- Boarding staff
Inviting Someone to Your Team
To invite a new team member:
- Go to your pet's Settings page
- Scroll to the Team section
- Click Invite
- Choose a role:
- Member - For helpers and occasional caregivers
- Co-owner - For partners with equal responsibility
- Select link usage:
- Single use - Link works once, then expires
- Multi-use - Link can be used multiple times (great for teams)
- Click Generate Invite Link
- Share the link with the person you're inviting
What Happens When They Accept
When someone clicks your invite link:
- They'll see your pet's name and photo
- They'll see what role they're being invited as
- If logged in, they can accept immediately
- If not logged in, they'll be prompted to sign in or create an account
- Once accepted, they'll have immediate access to your pet's profile
Inviting to Multiple Pets at Once
If you have multiple pets and want to give someone access to all of them, you can create a single invite link that grants access to multiple pets at once.
Using the Bulk Invite
- Go to your Dashboard
- Click the Join the Pack button in the top right (next to your pet count)
- Select which pets to include
- Choose a role (Member or Co-owner)
- Select link usage (single or multi-use)
- Click Generate Invite Link
- Share the single link with the person you're inviting
Benefits of Bulk Invites
- One link, multiple pets - No need to send separate links for each pet
- Faster onboarding - The recipient accepts all pets in one click
- Consistent access - Everyone gets the same role across all selected pets
What the Recipient Sees
When someone opens a bulk invite link, they'll see:
- A list of all pets they're being invited to
- The role they'll receive
- Who sent the invitation
They can accept all pets with a single click.
Managing Your Team
Viewing Team Members
To see who has access to your pet:
- Go to Settings on your pet's profile
- Look for the Team section
- You'll see all current members organized by role
Removing a Team Member
If you need to remove someone's access:
- Go to Settings > Team
- Find the person you want to remove
- Click the remove button next to their name
- Confirm the removal
Note: Only owners can remove co-owners. Co-owners can remove members.
Revoking Pending Invites
If you created an invite link that hasn't been used yet:
- Go to Settings > Team
- Find the pending invite in the list
- Click Revoke to disable the link
Member Limits by Plan
The number of members you can add depends on your plan:

| Free | 1 member |
| Owner | 10 members |
| Sitter | 10 members |
| Breeder | 10 members |
Co-owners don't count against your member limit.
Tip: Need more members? Upgrade your plan in Account Settings.
Best Practices
For Families
- Add your partner as a co-owner so you both have full access
- Add older children as members to let them help with pet care
- Each family member should have their own Petfolio account
For Pet Sitters
- Add regular sitters as members for ongoing access
- For one-time sitting, consider using a share link instead
- Members can log meals and activities during visits
For Multi-Pet Households
- Use Join the Pack to add someone to multiple pets with one link
- They'll see all shared pets on their dashboard
- You can also invite to individual pets from each pet's settings
Security Considerations
- Invite links expire after 7 days
- Single-use links can only be accepted once
- You can revoke any pending invite at any time
- Removed members lose access immediately
- Members cannot see your billing or account information
Frequently Asked Questions
Can a member invite other people?
No. Only owners and co-owners can create invite links. Members can only view and contribute to pet care.
What happens if I remove someone?
They immediately lose access to your pet's profile. Any care logs or photos they added will remain.
Can I change someone's role?
To upgrade a member to co-owner, send them a co-owner invite link. They'll be upgraded when they accept. To downgrade, you'll need to remove them and re-invite with the new role.
Do members see my contact information?
Members can see what you've added to your pet's profile (like vet contact info). They cannot see your account email or payment information.
What if someone I invited creates a new account?
The invite link works regardless of whether they have an existing account. New users can sign up and accept in one flow.
Troubleshooting
"This invite has expired"
Invite links expire after 7 days. Ask the pet owner to create a new invite.
"You already have access to this pet"
You're already a member of this pet's team. Check your dashboard to find the pet.
"This invite has already been used"
The invite was set to single-use and someone has already accepted it. Ask for a new invite link.
"Member limit reached"
The pet owner has reached their plan's member limit. They'll need to upgrade their plan or remove an existing member.
